LOA Guide
Leave of Absence (LOA) is an approved period of time for people who will be away from the workplace for a length of time.
Requirements and guidelines
Note: Failure to meet these guidelines will invalidate your LOA or your LOA will not be approved.
- All LOA’s need to be approved by a Leave of Absence Admin. For 3iC and above, it must be approved by a Directorate+.
- You must request and wear the LOA badge as well as add ‘LOA’ to the end of your motto.
- If you are unable to do so, be sure to state this in your LOA request.
- At the end of your LOA, please request for LOA Admin to mark you as returned.
- Failure to inform LOA Admin will lead to removal of badges or a demotion.

- If you do not return from your LOA by your return date, you will receive sanctions.
- You will be granted a 72 hour grace period which starts right after your LOA has expired.

non-elective loa rules
- Each LOA request has to be at least 15 days or longer, and must be approved by a LOA Admin.
- LOAs cannot be approved by electives while on a Leave of Absence.
- You CANNOT approve your own LOA. This will lead to badges being removed.
- Non-elective ranks are allowed up to 120 days of LOA yearly, with an extension of 25 days for special circumstances. If you need to be away longer, please contact a Directorate+.
- Non-elective ranks will have their badges removed on the 15th day of inactivity without LOA.
- All LOAs must have a return date or they will not be approved and will risk you being removed from HIA.
- Non-electives are expected to come online within 48 hours after being marked as returned, otherwise their badges will be removed due to inactivity.
What if I fail to return before my grace period ends?
- Failing to obey the rules mentioned above will lead to removal of badges or a demotion
- You may be allowed to return as a member of [HIA], however you will face a suitable amount of demotion according to the period of inactivity.
- Up to 2 months of inactivity will result in a 2 division demotion.
- After one year of inactivity, you will either receive further demotion or you may need to start over as a Recruit.
ELECTIVE LOA RULES
- Each LOA request has to be at least 5 days or longer. The approver varies with each division:
- You CANNOT approve your own LOA or approve anyone else’s while you are on LOA.
- Elective ranks are allowed up to 65 days of LOA with an extension of 25 days for special circumstances. If you need to be away longer, please talk to a Directorate and a decision will be made.
- If you exceed both your 65 & 25 days, you will be given a demotion due to abuse of the LOA system.
- If you exceed both your 65 & 25 days, you will be given a demotion due to abuse of the LOA system.
- For Elective Ranks (5iC-iC) who go inactive after a consecutive 5 days without LOA will risk getting a demotion or being removed from HIA.
- If you are not on LOA and you do not complete your audit & quota, you will be given a strike as punishment.
LOA In-base Rules
- If you are on a Leave of Absence, you are NOT allowed to work at any stations (FTF, FTS, FTT, FTTD, FTHD, TU) but may still come into HIA.
- All HIA rules must still be followed while you’re on LOA and in base (See the Code of Conduct for the rules).
- You are required to wear your LOA badge and have LOA in your motto while in base.
- Be warned, if you are on a Leave of Absence, you will NOT be able to claim pay or receive a promotion.
- Also, if you are on LOA you are not allowed to promote anyone. This is applicable to all ranks.
Please note, abusing the LOA system will result in your LOA being denied and further punishment.
how do i request a leave of absence?
If you wish to apply for a Leave of Absence here at HIA, you must first submit a LOA Request on Portal. Be sure you are following the guidelines. Then, please contact an LOA Admin on Discord by going to #requests and requesting for one.

As a member of staff higher than Security, you have the ability to submit and track your LOA Requests on the HIA Web Portal. From the main dashboard, select the “LOA Hub” from the sidebar navigation menu.

HOW DO I REQUEST THE LOA BADGE?
If you are going on LOA, you need to have the badge in your profile and wear it.
As a member of the Security Division, you must ensure that your request for the LOA badge has been accepted. If it has not been accepted within 48 hours, speak with any staff member that is 5iC or above and they can help you out. Visit the help desk and ask for assistance from a 5iC or above.
- To request the badge, click the LOA pennant which is found in base.
- Once you have clicked it, you then click “Request Membership”.
- When your LOA is approved your badge will be accepted to confirm you are on a Leave of Absence.

what do i do when i return?
- Once you have completed your LOA, you will request a LOA admin on Discord #requests so they can mark you returned.
- Example: @LOA Admin > I'm returning from LOA
- The main thing is to come back, leave the LOA badge and return your motto to normal and carry on working.
- If for whatever reason you need to return early, then you MUST inform a LOA Admin as soon as possible.
- Once they have marked you as returned, your LOA status will be updated on your dashboard.
what if i want to extend my loa?
If you want to extend your LOA, please contact LOA Admin. They will check the requirements such as the total length of your previous LOA.
For example,
Please remember, if previously you took 60+ days LOA, you will be under a resting period of 1 week after the LOA has ended before you can take another LOA.
For example,
- A Security I member returns from a 86-day LOA and after returning from this LOA, they wish to request another LOA after being returning 5 days of LOA and they request a 90-day LOA. The Security I member must get in touch with a member of the Directorate team to seek approval to have this LOA approved.
- But if an Elite Congressman comes back from a 90-day LOA and wants another LOA after returning 8 days of LOA and wishes for another 30 days, 2iC+ members can then approve of this request as it exceeds the 1 week cooling off period.
